Event Coordinator

Based at the Rutgers Center for Global Security and Democracy

Purpose:

To plan and coordinate the planning of logistical details for Global PACT events.  These include ensuring the coordination of our own outreach events, appearances at other organizations’ events, and on-campus trainings to name a few.

Reports :

Executive Director, Board of Directors, Public Relations Team. 

Key Relationships:

Executive Director, Public Relations Team, Finance Staff, and Alexsia Chan (for Training events)

Roles & Responsibilities:

Planning an event properly is the foundation of the events that support Global PACT in fulfilling its’ mission. You will responsible for planning, coordinating, and managing events. There are two categories of events that you will be responsible for managing: training and publicity. Training events are educational classes that provide the opportunity for students to learn and Global PACT Trainers to learn to teach and manage programs. Publicity events are educational recruitment events, conferences and fairs that publicize and enhance prospective student knowledge about Global PACT in order to recruit new participants.

 

Projects You Will Coordinate:

Events will be ongoing throughout the year.  Each event project will include, but not be limited to, the following sub-projects:

·       Create a work breakdown to outline the projects necessary to achieve the goal

·       Arrange the time and place of the event

·       Contact all relevant staff and speakers for the event

·       Coordinate with the volunteer manager for volunteers to help host the event

·       Share event details with the press, marketing and blog coordinators to ensure proper publicity

·       Communicate lists and costs of supplies needed with the finance staff

 

Personal Characteristics:

You demonstrate attention to detail.

Ability to work in a team, dedication to ensuring completion of projects and commitment of time.  This will be rewarded with a high degree of professional responsibility.

A willingness to thoroughly learn the position.

A high level of comfort with web-based programs, Excel, and the  MS Office Suite

Excellent written and oral communication skills. Excellent written and spoken English.

Proven ability to work collaboratively with other organizations.

Terms and Conditions

Probation: There will be a probationary period of one month. 

Salary range: Unpaid internship. 

Hours: Working week is 20 hours a week.  However, the demands of the job are likely to be such that a willingness to work flexible hours, as required, will be necessary.
